Data rooms
A data room gathers share links from several documents into one public page that you share with a single link. Recipients open the whole set without signing in, and every link inside keeps its own settings — forms, tracking, expiry.
You build and manage them under Data rooms in the sidebar. The screen describes it as “Pick document links and share them together as one page.”
Share several documents with one link
Section titled “Share several documents with one link”When you need to share several documents with one link, build a data room. Instead of listing a separate link per document in an email, you pick the links you want, gather them into one public page, and send that single link.
- Recipients open everything in the room from one link — no sign-up, no login.
- Every link inside keeps its own behavior: an info-required link still asks for details before the document opens.
- It fits proposal sets, company overview packs, and due-diligence material — anything where several documents travel together.
Build a data room
Section titled “Build a data room”Create the room
Go to Data rooms > New data room, name it (for example “Proposal set for Acme”), and click Create. It appears in the list as Private.
Pick the document links to include
Open the room and click Add links. Use Search documents to find a document, expand it, select the links you want, and confirm with the Add button. Links already in the room are marked Added.
Group them if you need to
Use the Group button to create a group inside the room and sort links into it (for example “Proposals” and “Reference”). Groups behave like folders on the public page. Rename one with Rename group.
Publish it
Click Publish at the top. While the room is private the Share button stays disabled and reads “Publish this data room to share it.”
Copy the link and share it
Click Share to copy the public address (“Link copied”). Recipients open it without signing in.
Filter the candidates with the channel chips — All · AI-public link · General share link · Info-required link · Per-recipient, five in total (there is no external-form chip). When nothing matches you see “No documents match your search.” or “No links match this filter.”
The list screen
Section titled “The list screen”Data rooms are shown as cards. Each card carries an icon, a visibility badge, the name, its link and view counts, and its owner, with a ⋮ More menu at the top right.

With no rooms yet you see “Create your first data room”, a three-step outline (create a data room → pick the document links → copy the link and share it), and a View an example data room button.
Inside a room
Section titled “Inside a room”The room header shows Data rooms (back to the list), the room name, its visibility badge, and owner · N links, with Publish/Make private · Edit · Share on the right.
- Below that, a breadcrumb (All / group name) moves you in and out of groups.
- Group creates a new group; Add links brings in more links.
- Entries have no ⋮ menu. Clicking an entry’s title opens that link in a new tab (note the ↗ icon beside the title, tooltip “Open link”), and the trash icon at the far right of the row is Remove from data room. Removing changes nothing about the original document or link. With edit permission you can also reorder entries by the drag handle on the left.
- An empty room reads “No links yet”; inside an empty group it reads “This group is empty”.
- Opening a room you cannot access reads “This data room is not available.”
The public address
Section titled “The public address”A published data room lives at /{spaceSlug}/dataroom/{roomSlug}.

- If the address is taken you see “That address is already in use.”; if the value is not allowed, “That address cannot be used.”
- Clicking a link inside the room opens that link’s own address (
/u/or/n/) — without the member segment, so a public read is never attributed to one of your teammates and your engagement data stays clean. - When you upload a new version of a document, the link inside the room is resolved to the current version, so entries never point at an old file.
- The top of the public page shows your space logo and company name, taken from your logo settings rather than from the room itself.
Per-plan data room limits
Section titled “Per-plan data room limits”How many rooms you can create depends on your plan. The link and group ceilings are the same on every plan.

- At the limit you see “You’ve reached your data room limit” with “Your plan allows N data room(s), and you are using M. Upgrade to create more.” When the usage numbers are unavailable, a generic version of the notice appears.
- The upgrade notice lists what a higher plan adds: more data rooms, your own branding and languages, and full view and contact insights.
- One room holds up to 500 links (“A data room can hold up to 500 links.”).
- Groups nest up to 5 levels (“Groups can be nested up to 5 levels.”).
Customize the public page
Section titled “Customize the public page”Edit at the top of a room opens Edit data room.
- Languages — Add language adds one, and clicking a chip lets you write that language’s text (“Pick a language, then write its text below.”). Seven languages are available — English, Korean, Japanese, Chinese, French, Spanish, and German, each listed under its own name — and the last one cannot be removed.
- Intro text — shown at the top of the public page. Insert variable adds Company, Group, or Count.
- Show contact panel — adds an enquiry block to the public page. Set the Contact heading (for example “Let’s start a conversation”), the Recipient email that receives submissions (“Submitted contact details are sent to this address.”), and the Form fields.
- Form fields default to Name, Email (required), and Message. Add field adds more, and each can be marked Required. Leave the labels untouched and the public page uses default labels in the web viewer’s own language.
- The contact details — Phone, Homepage, Office, Social — are all optional; fill in only what you need.
Good to know
Section titled “Good to know”- An unpublished room does not work as a link. Its address reads “This data room is not available.” and the Share button stays disabled.
- External form integration cannot be added. Not seeing it among the candidates is expected.
- Deleting a room deletes only the room. The documents and links inside, and the analytics they collected, are untouched.
- A data room never overrides link settings. A password, email allow list, expiry, or download block set on a link still applies when it is opened from the room. If a link inside has expired, that one entry will not open.
- If a thumbnail looks empty, add the link again. The preview is captured when you add a link, so a thumbnail created later needs a re-add.
- Changing the public address breaks the old one. Check what you have already sent before renaming it.
- Too many requests in a short time shows “Too many requests. Please try again later.”; a failed security check shows “Verification failed. Please try again later.”
Ways to use this
Section titled “Ways to use this”A data room is more than “send several files at once”. It becomes a customer-facing material room once you combine it with per-link settings, your branding, and view analytics. Three combinations people reach for most.
Zip the files into an email or hand over a whole folder link, and you never learn which file was opened and you cannot recall anything that left. A data room bundles material while every entry keeps its original link’s settings and its reading record — and Make private closes the whole page in one click.
Frequently asked questions
Section titled “Frequently asked questions”Can I send several documents with one link?
Yes — that is what a data room is for. Pick the share links you want, gather them into one public page, and send that single address. Recipients read everything in it with no sign-up and no login.
What happened to the Library?
The Library, which published a whole folder as a public gallery, has been replaced by Data rooms, and the sidebar menu changed accordingly. A data room holds individually selected document links rather than a folder, so what you publish no longer depends on how your folders are organized.
How many data rooms can I create?
Starter allows 1, Pro allows 3, and Business and Enterprise are unlimited. At the limit the screen says “Your plan allows N data room(s), and you are using M.” One room holds up to 500 links, and groups nest up to 5 levels.
Do the links keep their own settings inside a data room?
Yes. Each link behaves exactly as it does on its own. An info-required link still asks for details first, and download blocking or an expiry date still applies. A data room never overrides link settings.
Why is the Share button disabled?
The room is still private. You see “This data room is still private. Publish it to share the link.” Click Publish at the top and the Share button becomes available. Make private hides it again.
Are data room reads counted in analytics?
Yes — the read is counted against the underlying link, and the room card shows “N links · N views”. Links opened from a data room carry no member segment, so public reads are never mixed in with your team’s own views.
Can I add an AI-public link to a data room?
Yes, AI-public link is one of the channel chips in the picker. External form integration is the exception: it is a connection entry point, not a copyable address, so it never appears as a candidate.
Does deleting a data room delete the documents too?
No. Delete in the card’s ⋮ menu removes only the room. The documents, their links, and the analytics collected on those links all stay. To hide material temporarily, use Make private instead of deleting.
Is a password on a document still required inside a data room?
Yes. A password or email allow list set on a link still applies when it is opened through the room. Clicking that entry on the public page shows the Protected document screen before the file.
Where do I change the logo and company name on the public page?
Not in Edit data room — in your space’s logo settings. The public page reflects that value, so a per-room logo is not possible.
Where do lead form submissions go?
To the Recipient email you set while editing (“Submitted contact details are sent to this address.”). To collect more, add entries under Form fields and mark only the ones you need as Required.
How many languages can a room offer?
Pick as many as you need from seven: English, Korean, Japanese, Chinese, French, Spanish, and German. The last remaining one cannot be removed. After choosing a language, write its intro and contact text.
