Teams whose deals run on a chain of documents

SaaS sales is a long paper trail: the proposal leads to the security docs, the onboarding guide, the whitepaper. Passed around as files, they can't tell you which step stalled — and security docs spread with no control. Sent as links, every step records engagement, and every document carries its own access rules.

Scenarios

SaaS · IT: the situations teams keep hitting

How it's actually used in the field, with the features each moment calls for. What each plan includes is on the pricing page.

01

Track proposals per account

Split links per account and the reading histories never mix, even on the same proposal. Signals like pricing-page return visits set your follow-up timing, and Hot/Warm interest sorting floats today's calls to the top.

02

Put access rules on security docs

Security whitepapers and architecture docs take a per-link password and email allow list. Both are saved per link and never inherited — check them each time you create one. Download blocking and expirations live in the same place.

03

Keep the onboarding guide always current

You can't redistribute the guide every time the product changes. Upload the new PDF and links already out there point at the latest edition — printed QR codes open the current web viewer too.

04

Collect leads with the whitepaper

Put a lead form on the technical whitepaper and you collect name and email before reading, with auto-send to submitters. Connect Google Sheets, Notion, or Zapier and the leads flow straight through.

Workflow

SaaS · IT: how it works day to day

Organize the documents, split links per audience, watch the response, and close when it's done.

  1. 01 Build the document set

Organize proposals, security docs, whitepapers, and onboarding guides in one space with folder roles.

  2. 02 Give each document its own rules

Proposals get per-recipient links, security docs get passwords and allow lists, whitepapers go out as info-required links.

  3. 03 Watch the response per step

See which document stalled and which pages got re-read, and set the next action.

  4. 04 Hand off into onboarding

After the contract, continue with the onboarding guide link — and keep refining it by watching stay time on the troubleshooting pages.

FAQ

SaaS · IT: what teams ask most

Can security-review docs require email verification?

Turn on the email allow list per link and register individual emails or a whole @domain. It combines with a password, and settings are saved per link.

Can reading data flow into our CRM?

The built-in connections are Notion, Google Sheets, and Zapier — Zapier triggers reach other tools from there. There's no dedicated Salesforce or HubSpot integration.

Can proposal open alerts land in Slack?

Connect Slack in Settings and open alerts can go to Slack (off by default). Alert rules take effect after you hit save once.
